Additional licenses for Zoom (Large Meetings)

As of July 31, 2026, we will discontinue the provision of the following additional licenses:

  • Large Meetings with up to 500 participants
  • Webinars with up to 1,000 or 3,000 participants

After August 1, it will no longer be possible to host meetings with more than 1,000 participants or webinars with more than 500 participants using Zoom with a UTokyo Account. For meetings and webinars scheduled to take place by Friday, July 31, 2026, applications for these additional licenses will continue to be accepted until noon on Friday, July 24, 2026. Please ensure that your application is submitted by this deadline, as late applications cannot be accepted.

Overview

With UTokyo Zoom Accounts, you can hold online meetings for a maximum capacity of 500 attendees (“faculty or staff members employed by the university”) or 300 attendees (for those who do not fall under “faculty or staff members employed by the university”) and a maximum duration of 30 hours.

Large Meetings for over 300 or 500 attendees can also be held by applying for additional licenses beforehand. Here, we will explain how to apply for Large Meeting licenses.

Details and Terms of Large Meeting Licenses

  • If your attendee limit is 300 (students and those who do not fall under “faculty or staff members employed by the university”) and you wish to hold a Webinar or a meeting with up to 500 attendees, or to use the “Translated Captions” feature, please consult a nearby “faculty or staff members employed by the university” (you can become a co-host or alternative host of a meeting or Webinar created by a “faculty or staff member employed by the university”). “Faculty or staff members employed by the university” are kindly asked to give appropriate consideration to such requests.
  • Please note that there is only a limited number of licenses. Licenses may not always be granted. Priority will be given to online class uses.
    • You will be asked to provide grounds for expecting the limit of 500 attendees to be insufficient, such as the number of students who took similar classes in the past.
    • Please also consider using alternative tools such as Webex (a meeting tool for up to 1000 attendees, which requires no license application and offers a webinar tool called Webex Webinars).
    • Zoom meetings and Webinars can be live-streamed on YouTube Live and other platforms. Viewers watching via live streaming do not count toward the attendee limit, so please consider using live streaming in combination.   • Only license applications from faculty/staff members are accepted . Students who wish to apply need to submit applications through faculty/staff members (faculty advisor or staff of Academic Affairs/Student Support Division).

Large Meetings

  • Licenses are available for Large Meetings with up to 1000 attendees.
  • Licenses for online classes are granted for the whole semester (from the beginning to the end of the semester).

License Use Procedure

  1. Submit a license application form.

    • Please apply at least 1 week ahead of the day you wish to start using the license.
  2. The license will be granted to your existing Zoom account on the date indicated on your application form. (Note that the license is added to your existing Zoom account, and no separate account is issued for the additional license.)

    • To confirm that a specific license has been granted, access the Zoom Profile Page, and check that the number of participants in the “License Type” field has been changed to the number you applied for.
  3. Edit the settings as necessary and host the Large Meeting.
